Terms of Use

These terms govern access to the invite-only Workshop Commitment Tracker platform used for client workshops and follow-up. They do not replace the commercial agreement between Smart Minds and the client organisation.

1. Access model

WCT is an invite-only business platform. Access is granted by an authorised Admin or Facilitator for a specific workspace or workshop. There is no public self-registration.

One account may have several roles, but each role only exposes the pages and data needed for that role.

2. Service role

Smart Minds Ltd. provides the platform and related support. The client organisation controls the workshop purpose and the workshop data processed within it, unless a separate arrangement says otherwise.

3. Authorised use

You may use WCT only for the role, workspace and workshop activities for which access was granted.

Keep sign-in details confidential and notify support if you suspect unauthorised access or a security issue.

4. Prohibited behaviour

You must not attempt to bypass access controls, interfere with the service, misuse confidential workshop outputs, or try to access private content that is not intended for your role.

5. Data entry

Do not enter special-category, sensitive, unlawful, offensive, or unnecessary personal data unless your organisation has approved that use and has a lawful basis.

Commitments, check-ins, support requests, and reflections should stay practical, work-related, and proportionate to the workshop purpose.

6. Confidentiality of workshop content

Workshop content, private reflections, shared support requests, and dashboard summaries should be treated as confidential and used only in the authorised workshop context.

Managers, facilitators and administrators must respect the visibility boundaries configured for the workshop.

7. Availability and maintenance

Smart Minds may update the platform, run maintenance, send operational reminders, and respond to incidents to preserve security, reliability, and functionality.

Temporary interruptions may occur for maintenance, security, provider or incident-response reasons.

8. Data protection linkage

Use of the platform is also governed by this platform's Privacy Notice and Cookies Notice. The client organisation is normally the controller of workshop data, while Smart Minds acts as processor for the platform service.

9. Suspension or removal of access

Access may be suspended or removed for security reasons, misuse prevention, workshop closure, workspace closure, or when the client organisation instructs Smart Minds to remove access.
